Bulk Creating 20 Announcements in Canva: A Step-by-Step Guide
Hello! As your Canva trainer, I'm going to show you how to leverage the Bulk Create tool to take one master announcement template and automatically generate 20 unique versions — each with its own text. No copy-pasting required!
Phase 1: Design Your Master Announcement Template
Choose Your Format: From the Canva home page, select the design type that matches your announcement needs (e.g., Presentation, Instagram Post, Flyer, A4 Document, or a Custom Size). Pick whatever dimensions your site pages require.
Design the Layout: Build one beautiful announcement with placeholder text. Think about what will change across all 20 versions. Common variable fields include:
Headline (e.g., "Spring Sale Now On!")
Subheading (e.g., "Save up to 50%")
Body Text (e.g., a short description or call to action)
Date / Location / Other Details
Lock the Static Elements: Any design elements that stay the same across all 20 announcements (logos, background images, decorative elements) should remain as-is. Only the text that changes needs to be connected later.
Phase 2: Prepare Your Data in a Spreadsheet
Open a Spreadsheet: Use Google Sheets, Excel, or any spreadsheet tool.
Create Column Headers: Each column represents a text field that will change. For example:

Body Text

Fill in 20 Rows: One row per announcement. Each row = one unique version.
Export as CSV: Save / download the file as a CSV (Comma Separated Values) file. This is the format Canva's Bulk Create tool requires.
Phase 3: Connect Your Data Using Bulk Create
Open the Apps Panel: Inside the Canva editor with your announcement template open, click Apps on the left sidebar.
Search for "Bulk Create": Type it in the search bar and select the Bulk Create app.
Upload Your CSV: Click Upload CSV and select the file you prepared in Phase 2.
Connect Data to Text Boxes:
Click on a text box in your design (e.g., the headline).
In the Bulk Create panel, you'll see your column names listed. Click the matching column name (e.g., "Headline") — it will insert a dynamic placeholder like
{{Headline}}into the text box.Repeat for every text element that needs to change (subheading, body text, date, etc.).
Preview: You can preview how your data will look in the template before generating.
Generate All Pages: Click Continue → then Generate 20 designs. Canva will instantly create a multi-page document with all 20 announcements, each populated with the corresponding row from your spreadsheet.
Phase 4: Review, Export & Use
Review Each Page: Scroll through all 20 generated pages. Check that:
Text fits within the boxes (no overflow or cut-off).
Spelling and data are correct.
The layout still looks great with the real content.
Make Quick Edits: If a specific announcement needs a small tweak (e.g., longer text needs a font size adjustment), you can edit that individual page directly.
Download or Share:
Download: Click Share → Download → Choose your format (PNG, JPG, or PDF). You can download all pages at once or select specific ones.
Use on Your Site: Upload each announcement to its corresponding page on your website or CMS.
💡 Pro Tips
Images Too: Bulk Create can also swap images! Add an "Image URL" column to your CSV, and connect it to image placeholders in your design — great if each announcement needs a unique photo.
Brand Kit (Canva Pro): Set up a Brand Kit first so your fonts, colors, and logos are consistent and easy to access.
Reuse the Template: Save your master template. Next time you need a new batch of announcements, just update the CSV and re-run Bulk Create.
Text Overflow Fix: If some announcements have longer text, design your template with generous text box sizes or use Canva's auto-resize text option.
